1. Who we are

Global Ocean Logistics Limited (company number NI689768) is a freight forwarder registered in Northern Ireland, with its office at Office GE3, Sketrick House, Jubilee Road, Newtownards, BT23 4YH.

We are the data controller for the personal data described in this notice. That means we decide why and how it is used.

2. What we collect, and when

We only collect personal data that you give us directly, through one of three forms on this website:

• Contact form — first and last name, phone number, email address, and whatever you write in the message field.
• Quote request — first and last name, email address, mobile number, shipment direction and mode, collection and delivery addresses, and the shipment details you describe (commodity, weight, dimensions, incoterms, timeframe).
• Customer account application — business name and address, company registration, VAT and EORI numbers, number of directors, years trading, a director’s name, operations and accounts contact names, emails and phone numbers, two trade references, and the name, position and date of the person completing the form.

We do not collect special category data (health, ethnicity, political opinions and similar) through this website, and we ask that you do not include any in a free-text field.

We also receive standard technical information that any web server logs — IP address, browser type and the page requested — which Cloudflare processes on our behalf to serve the site and protect it from abuse.

3. Trade references — data about other people

The customer account application asks for two trade references, including a contact name and email address at another business. That is personal data about someone who has not dealt with us directly.

If you provide a reference, please make sure the person named is aware that you have given us their details and that we may contact them to verify your trading history. We will use their details for that purpose only, and we will delete them if the account application does not proceed.

4. Why we use it, and our lawful basis

• To answer your enquiry and provide a quotation — necessary to take steps at your request before entering into a contract (UK GDPR Article 6(1)(b)).
• To open and administer a trading account, and to arrange and deliver freight services — performance of our contract with you (Article 6(1)(b)).
• To verify trade references and assess creditworthiness before offering account terms — our legitimate interests in trading safely (Article 6(1)(f)).
• To keep the website secure and prevent spam and fraudulent submissions — our legitimate interests in protecting our systems (Article 6(1)(f)).
• To meet customs, tax and accounting obligations — compliance with a legal obligation (Article 6(1)(c)).

We do not send marketing emails and there is no marketing sign-up on this website. If that changes, we will ask for your consent separately and you will be able to withdraw it at any time.

We do not use your data for automated decision-making or profiling.

5. Cookies and analytics

This website sets no cookies and stores nothing on your device. There is no cookie banner because there is nothing to consent to.

We use Cloudflare Web Analytics to understand which pages are visited. It is privacy-first and cookieless: it does not track you across websites, does not fingerprint your device, and does not build a profile of you.

Our fonts are served by Google Fonts. Google receives your IP address as part of that request. No cookies are set by this.

6. Who we share it with

We do not sell your data or share it for advertising. We share it only with organisations that help us run our business, and only as far as they need it:

• Cloudflare, Inc. — website hosting, content delivery, and spam protection on our forms (Turnstile).
• Resend (Plus Five Five, Inc.) — delivery of the email that a form submission generates.
• Google LLC — font delivery, which involves your IP address only.
• Carriers, shipping lines, airlines, hauliers, port and terminal operators, and overseas agents — where necessary to move your shipment.
• HMRC and other customs authorities — where required for customs declarations and clearance.
• Our accountants, insurers and professional advisers, and law enforcement or regulators where we are legally required to disclose.

7. Sending data outside the UK

Some of our providers are based in the United States, so your data may be transferred there. Where that happens we rely on the UK Extension to the EU–US Data Privacy Framework, or on the International Data Transfer Agreement or Addendum approved by the UK Information Commissioner, so that your data keeps the protection it has under UK law.

Where a shipment involves an overseas agent or customs authority outside the UK, we transfer only what is necessary to move and clear your goods.

8. How long we keep it

• Enquiries and quote requests that do not become business — up to 12 months, then deleted.
• Customer and trading records, including account applications — six years after the end of our relationship with you, to cover UK limitation periods and HMRC requirements.
• Customs declarations and supporting documents — four years, as required by HMRC.
• Trade reference contact details where the account does not proceed — deleted once the application is closed.

9. Your rights

Under UK GDPR you have the right to:

• Ask for a copy of the personal data we hold about you.
• Have inaccurate data corrected.
• Ask us to delete your data, where we have no continuing legal reason to keep it.
• Ask us to restrict how we use it, or object to processing based on our legitimate interests.
• Receive your data in a portable format, in limited circumstances.
• Withdraw consent at any time, where we have relied on consent.

To exercise any of these, email us using the address below. We will respond within one month. There is no charge.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, or call 0303 123 1113. We would appreciate the chance to put things right first.

10. How we protect it

The website is served over HTTPS and form submissions are encrypted in transit. Access to enquiry and customer data is limited to the members of our team who need it to do their job. Our providers are chosen on the basis that they offer appropriate security for the data they handle on our behalf.

11. Changes to this notice

We may update this notice as our services or providers change. The current version is always published here. Last updated: August 2026.
